Since 2016, El Sistema Greece has been providing free, high-quality music education to children and young people, creating an inclusive community that embraces diversity. Inspired by the internationally recognized El Sistema programme of Venezuela, the organization delivers group music activities in a variety of settings, including refugee accommodation facilities, shelters for unaccompanied minors, creative learning centers, and its main location in Kypseli, Athens.

The programme promotes community, social inclusion, and personal development through collective music education, positively impacting students, their families, and the wider community.

Position Purpose

The Programme Coordinator supports the day-to-day operation of El Sistema Greece’s educational programs and musical ensembles, ensuring that students, teachers, and families receive the support they need for activities to run smoothly and consistently.

The role combines organisational, administrative, and educational responsibilities and serves as a key link between the administrative team, teachers, students, and families.

Key Responsibilities

Educational Programme Coordination

  • Support the daily operation of classes and educational activities.
  • Prepare classrooms and the necessary equipment before each lesson.
  • Assist teachers during lessons.
  • Coordinate the enrollment of new students.
  • Manage attendance records and educational documentation.
  • Maintain and update the student database.
  • Collect and organize evaluation and assessment materials.

Musical Ensemble Support

  • Provide organizational support for orchestra and choir rehearsals.
  • Prepare and distribute sheet music and other musical materials to musicians and teachers.
  • Assist with the preparation of concerts, rehearsals, and artistic activities.
  • Help organize transportation, attendance, and other logistical needs of the musical ensembles.

Student and Family Support

  • Serve as a primary point of contact for students and parents.
  • Provide information about class schedules and the organization’s activities.
  • Support the integration of new students into the El Sistema Greece community.
  • Contribute to creating a safe, inclusive, and welcoming environment for all children and families.

Administrative Support

  • Work closely with Programme Managers and the teaching team.
  • Assist in preparing educational materials.
  • Support the organization of events and concerts.
  • Monitor educational equipment and supplies.
  • Assist with collecting data for programme monitoring and evaluation.
  • Implement and support the organization’s Child Safeguarding Policy.

Candidate Profile

  • Previous experience in a similar role within a social, educational, or cultural organization, and/or in an administrative or front-desk position.
  • Strong communication skills with children and adults from diverse social and cultural backgrounds.
  • Ability to prioritize tasks effectively.
  • Ability to work under pressure.
  • Flexibility and adaptability.
  • Proficiency in Google Workspace (G Suite) or equivalent Microsoft Office applications. Experience with database management software is an asset.
  • Fluency in Greek and English. Knowledge of French, Farsi, Urdu, Arabic, or another language is considered an advantage.
  • Willingness to build effective relationships with members of the El Sistema Greece community.
  • Familiarity with managing music or educational materials is an additional asset.
  • Interest in collective music education and the operation of orchestras and choirs.
